  • Save the order, invoice, customer terms, payment confirmation, and processor transaction ID.
  • Send a plain confirmation with the deliverable, timing, contact path, and next step.
  • Record gross revenue, tax collected, fees, refunds, and the expected payout.
  • Schedule or purchase only what is required to fulfill this sale.
  • Check the refund, cancellation, shipping, and chargeback evidence required by your platform.
  • Move any deliberate tax, refund, or fulfillment reserve where it remains visible and untouched.

The numbers are illustrative, not a fee quote. The central point is that a $104.57 deposit does not explain a $108 customer charge. Keep the processor statement so your books can travel from order to payout without guessing.

Fulfillment creates your first operating record

For physical goods, preserve the item description, address confirmation, packing record, tracking, delivery, and customer communication. For services, preserve scope, acceptance, milestones, time, changes, and completion. For digital goods, preserve access delivery and relevant usage or download evidence according to your platform and privacy obligations.
